This policy explains what personal information Sthenos collects through this website, why we collect it, who else sees it, and what you can ask us to do about it. We have tried to write it in plain English rather than legal language.

Who we are and how to reach us

Sthenos Technologies is an IT services and custom software company. Our registered legal name is Sthenos LLC.

We have two offices:

What this policy covers

This policy covers this website, sthenostechnologies.com, and the forms, chat assistant and meeting booking tool on it.

It does not cover how we handle information inside a client project. When we deliver services, the contract with that client governs the data we touch on their behalf.

It does not cover other companies’ websites. Where we link out to sites such as LinkedIn, Clutch or SAM.gov, those sites have their own policies.

What we collect and why

When you fill in the consultation form

The form titled “Schedule a Free Consultation” appears on our home page, our contact page, our careers page and our about page. It asks for:

  • First name and last name, both required
  • Email address, required
  • Contact number, optional
  • Organization, optional
  • Country, chosen from a list, optional
  • The service you are interested in, chosen from a list, optional
  • How you heard about us, chosen from a list, optional
  • A free text message, optional
  • A tick box saying you agree to this privacy policy, optional

The form also sends four hidden technical values that identify which page you submitted from. They contain no information about you.

We use this to answer your enquiry, work out whether we can help, and follow up about the services you asked about.

When you apply for a job

The application form on our careers page asks for:

  • First name and last name
  • Email address, required
  • Phone number
  • Your resume as an uploaded file, required. You can attach more than one file and each file can be up to 10 MB
  • A LinkedIn profile or portfolio link
  • An optional short note to the team
  • A required tick box confirming you are authorised to work where the role requires and agree to this policy being applied to your application

Your resume is a file you wrote, so it may contain more than the fields above, including your address, your work history and anything else you chose to put in it. We only ask for what we need to assess your application. Please do not send us information about your health, your race, your religion, your political views or similar sensitive details, because we do not need them to consider you for a role.

We use this to assess your application, contact you about it, and run our hiring process.

When you refer someone to us

Our careers page also carries a referral form. It asks for your name and email, and then for the candidate’s full name, the candidate’s email address and a link to their LinkedIn or portfolio, plus your view of why they would be a good fit.

If you use this form you are giving us someone else’s personal information. Please only do that if they are happy for you to. We will use it to contact the candidate about opportunities at Sthenos and to track the referral.

When we first contact someone who has been referred to us, we tell them who referred them and why we are getting in touch.

When you use the chat assistant

Our website has an AI chat assistant that appears as a button in the corner of the page. It introduces itself as Theo.

When you send it a message, your message and the earlier messages in that conversation are sent to our own server at sthenostechnologies.com and a reply is generated. Anything you type into the chat, including your name, your email address or details about your project, is handled as described in this policy.

The replies are generated by Anthropic, a United States company, which means Anthropic processes the messages you type into the chat window. Conversations are kept for 12 months and then deleted.

The chat assistant is there to answer questions and help you book a call. Please do not type anything confidential, and do not send us passwords, financial account details or government issued identification numbers through it.

When you book a meeting

If you choose to book a call, the booking is handled by Calendly, a scheduling company. The booking form is theirs, so the name, email address and any answers you give when booking go to Calendly as well as to us. Calendly has its own privacy policy.

Automatically, when you browse the site

Like most websites, we and our suppliers receive some information automatically:

  • Your IP address
  • Your browser and device type
  • The pages you visited, when, and how long you stayed
  • The website or search that sent you to us
  • A randomly generated identifier stored in a cookie, which lets our analytics tell a returning visitor from a new one

We use this to understand which pages are useful, to spot problems, and to keep the site working and secure.

Cookies and analytics

We are telling you plainly: this site sets cookies as soon as you arrive, and there is no cookie banner asking you first. We are adding a consent banner so you can refuse the optional ones. Until it is in place, this section describes exactly what happens today and how to refuse these cookies in your browser.

On a first visit to the site, five cookies are set:

  • _ga and _ga_D3LS8R37S4. These belong to Google Analytics. They hold a random identifier and session information so we can count visitors and see which pages they read. They do not contain your name.
  • _tccl_visitor, _tccl_visit and _scc_session. These are set by a traffic measurement script that our web hosting provider adds to the site. They hold a randomly generated visitor identifier and a count of pages viewed.

The site also stores a small amount of information in your browser’s local storage. This is used to remember page layout settings and to remember if you dismissed a banner. It stays in your browser and is not sent to us.

We use Google Analytics 4 on this site. Our measurement identifier is G-D3LS8R37S4. Google acts as our supplier for this and processes the information described above on our behalf. You can opt out of Google Analytics across all websites using Google’s browser add on at tools.google.com/dlpage/gaoptout.

You can also block or delete cookies in your browser settings. If you block them, the site will still work.

We want to be clear about what we do not do. We have checked the site and it carries no advertising or social media tracking pixels. There is no LinkedIn Insight tag, no Meta or Facebook pixel, no Microsoft advertising tag, no TikTok pixel and no session recording tool. We do not use this website to build advertising profiles, and we do not sell the information we collect here.

Other companies that handle your information

We use a small number of suppliers to run this website. They only handle your information to provide their service to us.

  • Our web hosting provider. They host the website and its database, which means every form submission passes through their systems. They also add a traffic measurement script to our pages, which sets three of the five cookies described above. GoDaddy
  • Google Analytics. Measures website traffic, as described above.
  • Google reCAPTCHA. Our forms use reCAPTCHA to tell people from automated bots. Google receives information about your interaction with the page in order to score whether you are a bot. Without it we would receive a large volume of spam submissions.
  • Google Fonts. Our pages load typefaces from Google’s font servers, which means Google receives your IP address when the fonts load.
  • Calendly. Handles meeting bookings, as described above.
  • The provider behind our chat assistant. Anthropic generates the chat assistant’s replies and therefore receives what you type into the chat window.
  • Our email and business systems. Form submissions reach us as messages and records in the tools we use to run the business. Enquiries and job applications arrive in our email inbox and go no further. No customer relationship system or applicant tracking system receives them.

We may also share information where we are required to by law, for example in response to a lawful request from a court or a government agency, and where we need to establish or defend a legal claim. If our business is ever sold or merged, information may transfer to the buyer as part of that transaction.

A note for our government clients: where a contract with a federal, state or local agency sets specific handling rules for information, those contract terms govern that work.

Why we are allowed to use your information

Different laws describe this differently. In plain terms, we rely on the following:

  • You asked us to. When you submit an enquiry, apply for a job or start a chat, you are asking us to respond, and we use your details to do that.
  • We have a genuine business reason. Understanding how our website is used, keeping it secure and preventing spam are ordinary business needs, and we balance them against your privacy. You can object to this, and the rights section below explains how.
  • You gave permission. Where you tick a box or otherwise agree, we rely on that. You can withdraw permission at any time, and doing so does not undo anything we did before you withdrew it.
  • The law requires it. Some records have to be kept, for example for tax or employment purposes.

How long we keep things

We keep personal information only as long as we need it for the purpose we collected it, and then delete it.

These are the periods we work to. You can ask us to delete your information sooner at any time.

  • Enquiries from the consultation form: 24 months
  • Job applications and resumes from candidates we do not hire: 12 months, after which we delete them. We do not keep candidates on file for future roles unless you ask us to.
  • Referral form submissions: 12 months
  • Chat conversations: 12 months
  • Website analytics: 14 months

Your rights

Depending on where you live, privacy laws give you rights over your personal information. These commonly include:

  • Asking what personal information we hold about you, and getting a copy
  • Asking us to correct information that is wrong
  • Asking us to delete information
  • Asking us to stop using your information for a particular purpose
  • Asking for your information in a portable format
  • Opting out of targeted advertising, the sale of personal information, and profiling that has a significant effect on you. As explained above, this website does not do any of those things
  • Appealing if we refuse your request, and complaining to your state attorney general or data protection authority

To make a request, email us at info@sthenostechnologies.com and tell us what you want us to do. We will ask for enough information to be sure the request is really from you, which protects you as much as us. We do not charge for this, and we will not treat you differently for asking.

We will respond within the time the law allows, which is 45 days.

If you are a job applicant and you want your application removed, tell us and we will delete it, unless we are required to keep a record.

Where your information goes

We are based in the United States and we handle information here.

Our consultation form lets you tell us your country and lists countries worldwide, so people outside the United States do contact us. If you are writing to us from outside the United States, your information will be transferred to and handled in the United States, where privacy laws differ from those in your home country.

If the privacy law of the EU or the UK applies to you and you would like details of the safeguards that cover a transfer of your information to us, write to us and we will explain what applies to your case.

Some of the suppliers listed above operate globally and may handle information outside the United States.

Children

This website is for business buyers and job applicants. It is not aimed at children and we do not knowingly collect information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.

How we protect information

We take reasonable steps to protect the information you send us. On this website that includes:

  • The whole site is served over an encrypted connection, and visits over an unencrypted connection are redirected to the encrypted one
  • Browsers are instructed to use the encrypted connection for a year at a time
  • Forms are protected by reCAPTCHA to cut down on automated abuse
  • The site sends browser security settings that restrict how our pages can be embedded by other sites and limit what page content can do
  • The site does not request access to your location, camera or microphone, and browsers are told to block those requests

No website can promise perfect security, and we are not going to pretend otherwise. If something goes wrong that affects your information, we will tell you and the relevant authorities where the law requires it.

Changes to this policy

If we change this policy we will update the date at the top of this page. If the change is significant, for example if we start using a new supplier that handles your information in a new way, we will say so clearly on this page. Where the law requires us to, we will contact you directly.
